How Our Online Voting Process Works

Quote Requested / Received / Signed

You reach out for a quote on how much our services cost. You will then receive a detailed quote with services listed. If everything looks good you sign the quote initiating the data gathering step.

Initial Data Gathering

We work with you to gather the homeowner, ballot and other information required for the website.

Initial Website Build

We build the website based on the information gathered.

Customer Preview/Approval

You preview the website by going through the voting process as if you are a homeowner voting. After prevewing, you let us know if the website and ballots look good or if any changes need to be made. We will send an invoice to you after approval is received.

Vote Starts

The vote starts by sending out invitation emails to each homeowner. Those emails contain a unique registration code and link to register and vote.

Voting Continues Until End Date

Voting continues until the end date. Reminder emails are sent every other day and manager update summaries are sent every Friday.

Vote Ends

The vote ends and you are sent a detailed summary of the voting outcome.

Email Invitations

Invitation emails are sent to all homeowner emails associated with a property, giving users the option to choose which email to use for registration. This feature is not commonly offered by other platforms.

We send invitation emails to all email addresses associated with each homeowner's property, ensuring everyone is notified. During the registration process, users can select which email they wish to use. This flexibility is a unique feature that most other platforms don't offer. To maintain security and ensure authenticity, users must register with one of the emails on file, safeguarding the process and improving the accuracy of voter participation. If a homeowner's email is not available, we allow them to register using an email of their choice.

Voter Registration

A registration code ensures that each voter registers using a unique personal registration code. This code is randomly generated by us ensuring secure and accurate voter identification.

Property weighting is designed for owners with multiple properties, allowing them to register and vote just once, with their vote weighted based on the number of properties they own. This feature also applies to condominiums, where different unit sizes may have varying vote percentages, ensuring an equitable voting process for all property types.

Ballot Features

Our online ballots offer flexibility for both candidate elections and issue votes. HOA's can choose to include everything in a single ballot or multiple, with options for write-in candidates, multiple issues, and supporting documents. Additionally, a quorum-only option is available, allowing owners to vote on quorum without selecting candidates or issues.

Our online voting platform provides a comprehensive and flexible ballot system for HOAs. Candidate elections and issue votes, such as last year's meeting minutes or IRS rulings, can be added to a single ballot or separated as needed. Candidate biographies can be included to help voters make informed decisions, and the number of open board positions limits the candidates a voter can select. For write-in candidates, spaces are provided for each available position. Voters can choose to abstain from voting on an issue if desired. To provide additional context, supporting documents like meeting agendas or prior meeting minutes can be included on the ballot as PDFs. Additionally, the Quorum Only option allows owners to vote solely for quorum without selecting candidates or issues, streamlining the process while ensuring compliance.
